RTM Event Management - Multiple Locations and Languages Events

Event management involves planning, coordinating, and executing events like corporate meetings, conferences, and festivals. The aim is to create successful experiences for attendees through strategic planning, venue selection, logistics, marketing, registration, on-site execution, and post-event analysis. Clear communication, attention to detail, flexibility, leadership, and continuous improvement are essential for effective event management. â€‹â€‹â€‹â€‹â€‹â€‹â€‹


Scenario: Events Across Multiple Locations and Languages 

Envision your company planning a series of marketing events spanning various regions across Europe. Each event will be specifically tailored to the local audience, featuring content and presentations delivered in the respective languages of the attendees.  

 

1 – Set up the events. 

In our scenario, we will organize an event in Lisbon, Portugal, referred to as the Lisbon Event, and another event in London, United Kingdom, referred to as the London Event. Additionally, we have incorporated a custom field within the event entity designated as "Event Language." This field is mandatory and must be filled by the marketer each time an event is created.

2- Create the segments 

In this scenario, we will define two segments: one for contacts residing in Lisbon, Portugal, and the other for contacts residing in London, United Kingdom. 

 

 

 

3- Prepare localized content  

Prepare promotional emails for the event tailored to the location and language. In this scenario, we will create one email in English and another in Portuguese (English version below). Each email will include a registration button that redirects recipients to the specific event. The language for email communications can be specified within the email settings, enabling the creation of email templates tailored to the required languages. 

 

 

Journey creation 

1. – Invitation journey – segment-based 

The next step involves constructing a journey to promote these events to our target audience. In this scenario, we utilized a segment-based journey that incorporates the segments developed in step 2 (contacts from Lisbon and London). Another option would be to add a single segment for the entire audience and then branch it based on field attributes. 

 

 

We then branch it according to the contact's location and send each recipient an email written in the appropriate local language. 

 

2. Registration confirmation journey – trigger-based 

Next, we create a second journey for check-in using a trigger-based journey that utilizes the OOB Marketing Event Registration Created trigger. Whenever an individual from Lisbon or London registers for the events, this journey will be triggered and based on the event language, will send a specific check-in email. 

 

  

The branch condition is set to Event Language equals English and Event Language equals Portuguese. 

 

 

Each check-in email (as shown in the English version below) includes two buttons: one for event check-in and another to add the event information to the calendar. 

 

 

Both the Check-In and Add to Calendar buttons are configured in a similar manner using dynamic fields.
