Limiting View Selector in Advanced Lookup Dialog for Adding Existing Products in a Subgrid

Hello Dynamics 365 experts,

I'm currently working on customizing the Advanced Lookup dialog for adding existing Products in a subgrid. When clicking "Add Existing," the dialog box opens, allowing users to search for Products and access the Advanced Lookup option. In the Advanced Lookup dialog, a view selector is presented, letting users switch between views to find the required Product.

 

The requirement I'm dealing with is as follows:

  • Limit the views available in the view selector: Only include views (the 5 public views added in the app) required by the sitemap.

  • Exclude system lookup views: Because, by default it shows all the Lookup Views. 

  • Set a public view as the default view in the view selector.

 

I need guidance on whether this requirement is technically possible and the best approach to implement it. Specifically:

  1. Can the views in the Advanced Lookup selector be limited to only those required in the sitemap without including any system lookup views?

  2. Is it feasible to configure a public view as the default view while achieving the above requirements?

 

If anyone has experience with customizing Advanced Lookup dialogs, particularly restricting views and setting a default view, I'd greatly appreciate your insights or any references to resources.

    Thanks for the suggestion, but in our requirement we are not allowed to disable other views as these views might be using by other teams. 
     
    So far on my investigation, I can get rid of other lookup views in the Advanced Lookup if I set at least 1 lookup view in the MDA. 
     
    Then it will look like this: 
     
    However, we would also like to not include that Lookup View.

    Well shoot, that's my mistake. I thought that change also applied to the Advanced window option as well.
     
    If the other system views are not needed, can you turn them off? That might prevent them from appearing in the view. You can disable a view by going to https://make.powerapps.com > Table > System Views > Turn Off
     
    Maybe give that a try and let us know if it works? Sorry I can't get into a trial org to test it out myself right now.

    I tried your recommended approach. Unfortunately, it only sets a default view for the subgrid and defines the views available for it, but it does not apply to the Advanced Lookup dialog box.
     
     
     
    There are still a lot of views in here and the default view is still different:

    You should be able to do this.
     
    • Open the form in question where you have the Products subgrid added
    • Select the subgrid, and in the right side properties check the following:
      • Set Default View: Use whatever system view you want to have be the first one opened
      • Allow Users to change view = Yes
      • Show all Views = No
      • Selected Views: Put check marks next to the views you want to make available
    • Save and publish your form
    My screenshots below are from the Account > Contact subgrid, but same principle should apply anywhere.
